Job Description: The Document Manager will be responsible for information and image management. The key role is to work collaboratively and in an innovative, technically-minded manner, delivering and maintaining documents and records. -Plays a leadership role in Enterprise Content Management strategy and implementation, managing the documents and records, with oversight for support services, and the technical library. -Will work with key leaders to develop policies and procedures related to records management and will implement and provide oversight to policies intended to standardize retention, storage, protection, and retrieval of records, reports, and other information contained on paper, microfilm, and other media. -Will implement systems consistent with the overall document and records management requirements and objectives and will be responsible for the records storage, response, retrieval, and destruction activities.
Document Management (75%) -Analyze the information needs of the enterprise and local department and develop a document and business process management plan that reflects these needs -Undertake audits of information created and stored within the department -Develop policies for the distribution and storage of records, including the incorporation of new information technologies into the department -Define retention criteria and make sure that documents are disposed of or archived according to requirements -Ensure all aspects of document/records management adhere to relevant internal and external regulatory requirements -Provide direct management of the hard-copy and electronic files on-site in local department/data administration
Process and Customer Support Oversight (10%) -Oversee unit customer response services, verifying feedback and aggregating metrics on inquiries and response -Work internally and with external units to develop disaster plans to make sure that the department has the necessary information to continue functioning in the event of a temporary relocation or major disaster -Define the creation and maintenance of databases for the control, location, and retrieval of information and records
Staff Management (10%) -Direct hire/fire authority for at least two additional staff members -Plan work direction, define work focus, work flow, and set priorities and tasks for the unit responsibilities and unit staff -May also indirectly manage others in department or beyond as needed to accomplish critical business tasks relating to document management
Finance and Other (5%) -Responsible for development of, adherence to, and appropriate fiscal management of budget allocated for document management process, equipment, and staff
Experience Level: 4 Years
Requirements: Required: -Bachelor degree in information or technology management, business administration, or a related field. -Two years minimum experience planning, implementing, and supporting an enterprise-scale production document management system such as Image Now, Onbase, Oculus, Documentum -Two years minimum supervisory experience -Demonstrated strong writing and documentation skills -Exceptional customer service orientation -Solid relationship management and performance management skills -Ability to multi-task and prioritize in a high pressure environment -Ability to work in a team environment
Preferred -Prior experience managing departmental and project budgets -General project management training
