Job Description: Training Support Specialist- Administrative/project support level role handling all support-based tasks associated with training meetings, processes, and training logistics. Contract/temporary role. Onsite only. $18/hr maximum pay. 12 month project.
#12243. This position provides operational support, training coordination, logistical support, meeting administration and problem-solving. A critical element is to be the administrative facilitator for all coordination and communication regarding training meeting logistics to field sales, suppliers, travel group, and in-house staff.
Administrative: Functional area phone coverage; Meeting and calendar management using Lotus Notes; Administrative tasks such as making copies, sending FedEx packages, mail distribution, small print jobs, ordering supplies, etc. Process invoices. Record control/retention procedures. Ensures sales training area is presentable and organized. Program Logistics: Effectively manages pre, post, and on-site logistics (meeting space, room set-up, menus, audio visual, participant and vendor travel, training materials) for programs 100 persons and less in scope. Assists with logistics for larger events as requested by management. Responsible for the meeting coordination and participant tracking for all training classes conducted with the LMD department. Responsibilities also include establishing contracts with major hotels, other meeting sites, travel vendors, and other vendors that help coordinate a successful training meeting. Communication of meeting logistics to external and internal customers/staff. Training Materials Management: Assists Leadership and Management Development team with supplying various leadership workshops materials within a given deadline. Manage warehouse inventory of all leadership training materials and comply with corporate record retention policies. Education: Bachelors Degree desired Experience: 2-4 years of administrative, meeting planning or coordination experience. Meeting planning experience desired. Must possess MS Word, Excel, Lotus Notes proficiency. If no Lotus Notes, than solid scheduling experience with other tool. Excellent computer skills required Advanced administrative/secretarial/computer skills.
