Job Description: Duties: - Enter data into conference database, generate reports, and perform mail merges - Create and process forms for registration, reimbursement, honoraria, evaluations, invoices, and other forms as needed - Process registration payments and submit weekly reports to accounting - Conduct cost comparison research for supplies - Create, duplicate, and assemble conference/review materials, including name badges, tent cards, signs, packets, and other materials as requested by client - Correspond with clients and attendees via phone, email, fax, Federal Express, and U.S. Mail - Assist in generation and update of rooming lists - Prepare logistical and confirmation letters for clients, attendees, speakers/VIPs, and vendors - Work with clients to develop meeting materials - Provide onsite support (travel required) - Provide other pre- and post-conference support such as copying, filing, mailing, and updating database - Arrange travel for sponsored attendees and speakers/VIPs - Provide travel information for non-sponsored attendees as necessary - Process bills from vendors as necessary - Order necessary supplies - Maintain an invoice reconciliation spreadsheet tracking all contract ?other direct costs?
