Job Description
 
Position Summary:  The Legal Secretarial Assistant provides administrative support to the Central Records Access Officer and performs difficult secretarial, word processing, office and/or supervisory duties in the General Practice – Freedom of Information Law Unit.
Reports to:Deputy Counsel, General Practice Unit
Direct Reports: N/A
Key Relationships:Legal staff assigned to the FOIL unit.
Responsibilities
* Serves as legal secretary to high-level attorneys; performs general office work, including scheduling appointments, responding to inquiries from the public, disseminating mail, and other general office work.
* Utilizes automated office systems; performs complex word processing assignments which require the application of other than standard document or file formats, e.g., PowerPoint and Excel.
* Maintains records and files; makes entries concerning case progress and ensures compliance with legal timeframes.
* Maintains and utilizes a case tracking system, e.g., creates records, enters progress data, closes cases, runs reports and archives files.
* Coordinates and prioritizes office activities of employees by recording, checking and maintaining records, furnishing information, and preparing reports.
* Coordinates inquiries to appropriate DOE offices.
Qualification Requirements:
Minimum:
* An associate degree from an accredited college including or supplemented by 12 semester credits in secretarial science, word processing, office automation and/or office technology; or
* An associate degree from an accredited college, and either one year of full-time satisfactory general secretarial experience or six months of full-time satisfactory legal secretarial experience; or
* A four-year high school diploma or its educational equivalent, and either two years of full-time satisfactory general secretarial experience or one year of full-time satisfactory legal secretarial experience; or
* Education and/or experience equivalent to'1','2'or'3'above. Satisfactory completion of a one year specialized training program in secretarial science, word processing, office automation and/or office technology, or completion of 30 semester credits from an accredited college, including 12 semester credits in secretarial science, word processing, office automation and/or office technology may be substituted for one year of full-time general secretarial experience or six months of full-time legal secretarial experience. However, all candidates must possess a four-year high school diploma or its educational equivalent.
Skills Requirement
Ability to type at a minimum rate of 55 words per minute.

* Excellent communication, interpersonal and organizational skills.
* Ability to write clearly and concisely.
Salary:$38,939+
